Introduction
Latom Consulting Services ("we," "us," or "our") operates CanadaPathway (canadapathwaycoach.ca). This Privacy Policy explains how we collect, use, store, and protect your personal information when you use our platform.
By creating an account or using CanadaPathway, you agree to the collection and use of information in accordance with this policy.
1. Information We Collect
Information you provide directly: When you create an account, take the pathway quiz, or use platform features, we collect: your name, email address, country of origin, immigration status, quiz responses, checklist progress, document names and expiry dates, Letters of Explanation submitted to the LOE Scanner, and any notes you add within the platform.
Information collected automatically: We collect standard usage data including pages visited, features used, session duration, browser type, device type, and approximate location (country/province level only, derived from IP address).
Payment information: Payment processing is handled entirely by Stripe, Inc. CanadaPathway does not store credit card numbers, CVV codes, or full payment card details. We receive only a transaction confirmation and your Stripe customer ID. Stripe's privacy policy is available at stripe.com/privacy.
Third-party affiliate clicks: When you click an affiliate partner link within the platform (e.g., WES, IELTS booking, banking partners), we log the click along with your user ID, the partner name, and the timestamp. We do not share your personal details with affiliate partners beyond what is required for commission tracking.
2. How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve the CanadaPathway platform
- Personalise your checklist, news feed, and draw alerts to your immigration program
- Process payments and manage your subscription or one-time purchase
- Send draw alert emails and transactional notifications you have opted into
- Connect you with RCIC reviewers when you initiate a review request
- Analyse aggregate usage patterns to improve our features (no individual profiling)
- Comply with applicable Canadian laws and regulations

We do not use your immigration data for advertising profiling, sell your data to third parties, or share your personal details with immigration authorities.
3. Letters of Explanation (LOE Scanner)
When you use the LOE Scanner, your letter text is sent to Anthropic's Claude API for AI-powered analysis. Anthropic processes this data in accordance with their API usage policies (anthropic.com/privacy). We store the letter text and the AI analysis result in our database associated with your account. You may delete your scan history at any time from your account settings.
We strongly advise you not to include your UCI number, passport number, or full name within any letter you submit to the LOE Scanner.
4. Data Storage and Security
Your data is stored on infrastructure hosted in data centres compliant with SOC 2 Type II standards. All data is encrypted at rest and in transit using TLS 1.2 or higher. Access to production databases is restricted to authorised personnel only.
We implement Row Level Security (RLS) on all user data tables, meaning your data is only accessible to your own authenticated session and our administrative team.
Despite these measures, no method of electronic storage is 100% secure. We will notify you promptly in the event of a data breach affecting your personal information, as required under Canadian law.
5. Data Retention
We retain your account data for as long as your account is active. If you delete your account, we will delete or anonymise your personal data within 30 days, except where retention is required by law (e.g., financial transaction records, which are retained for 7 years per Canadian tax regulations).
Stripe webhook event logs containing billing metadata are retained for 90 days for fraud prevention purposes and then deleted.
6. Your Rights (PIPEDA)
Under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), you have the right to:
- Access the personal information we hold about you
- Correct inaccurate or incomplete information
- Withdraw consent to certain uses of your data
- Request deletion of your account and associated data
- Receive a copy of your data in a portable format

7. Cookies
CanadaPathway uses essential cookies required for authentication and session management. We do not use advertising cookies, third-party tracking pixels, or behavioural analytics cookies.
We use a privacy-friendly analytics tool to measure aggregate page views and feature usage. This does not track individual users across sessions or across other websites.
8. Children's Privacy
CanadaPathway is not intended for use by persons under the age of 18. We do not knowingly collect personal information from minors. If you believe a minor has created an account, please contact us at info@latomconsulting.com and we will delete the account promptly.
9. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a prominent notice on the platform. Your continued use of CanadaPathway after changes are posted constitutes your acceptance of the updated policy.
